WEDDINGS, CONFERENCES & EVENTS
In order to avoid any misunderstandings in respect of this booking, the following are the
terms of business, which apply to all bookings relating to Weddings, Functions,
Conferences and related Events at That Amazing Place, Hubbards Hall Drive, Off
Churchgate Street, Old Harlow, Essex, CM17 0NH.
In these terms of business, the expression “Client” means the person, firm or company
making the booking at That Amazing Place and “Event” means the wedding, function or
conference and any activities relating to the same.
1. BOOKING CONFIRMATION
Any booking is provisional until the deposit payment has cleared and That Amazing Place
receives a signed copy of these terms from the Client or written confirmation of booking
from the Client, receipt of which will be deemed to be the Client’s acceptance of these
If a booking is made within eight weeks of the event date, complete and total payment is
required to secure the booking.
The price at time of booking covers the cost of the planning, organising and delivery of
the proposed event. If the client wishes to change aspects of the booking once the deposit
has been paid, additional reasonable costs may be levied by That Amazing Place, at their
Unless specified otherwise all prices quoted are exclusive of VAT, which will be applicable
to all bookings at the current rate. Prices quoted are subject to variation up to 12 weeks
prior to the date of the event, after which, except for variations due to Client requirements,
they may only vary due to changes in VAT or other reasons outside That Amazing Place’s
control, in which case they will immediately be notified to the Client.
All rooms, facilities and rates offered by That Amazing Place are subject to availability at
the time of booking and the discretion of the Event Manager.
For non-exclusive event bookings, provisional numbers will be required from the Client at
the time of booking and That Amazing Place’s minimum charge for the facilities will be
based on those numbers.
At least 14 days prior to arrival, the Client will provide That Amazing Place with up to date
guest numbers. 72 hours prior to arrival, the Client will provide That Amazing Place with
the final guest numbers.
The final charge to the Client will be calculated using this number or actual number
attending whichever is greater, provided that the number exceeds the minimum charge.
5. THIRD PARTY SUPPLIERS
Sub-contracted services such as catering, marquees, cakes, flowers and venue decoration
are provided by third party suppliers. Where appropriate and agreed with the Client, third
party suppliers should be paid directly by the Client. It is the responsibility of the Client to
ensure that they have read and agreed to the Terms and Conditions of the third party
Any activities not provided by That Amazing Place must be fully insured for public liability
and proof of such insurance is required.
It is advised that the Client takes out a suitable wedding/event insurance policy covering,
as a minimum, public liability and cancellations.
7. ONGOING MAINTENANCE
Occasionally urgent and essential, special maintenance work on the building, gardens and
lake is required. That Amazing Place will make their best endeavours to keep any visual
impact to a minimum. That Amazing Place will not be liable for any reimbursement in fees
on these occasions.
That Amazing Place should be advised of the number of guests under the age of 16 years.
It is the responsibility of the Client to ensure that adequate adult supervision is provided
throughout the event, particularly in respect of avoiding danger areas in the garden. All
children under the age of 16 years must be supervised by a responsible adult whilst on the
premises. The staff of That Amazing Place will not be held responsible for the supervision
For fire regulations a register giving names and ages of all guests under the age of 16 is
required prior to the event.
Smoking is strictly prohibited inside That Amazing Place. Within the grounds, smoking is
restricted to designated outside areas and smoking materials must be adequately
extinguished in the waste bins provided.
Deposits are payable by BACs, cheque, cash, credit or debit card.
Events are subject to a non-refundable deposit, amounting to 25% of the venue hire and
The full balance is payable 8 weeks prior to the event.
All event bookings are subject to a damage deposit £500, which is fully refunded after the
event provided that no damage occurs. The damage deposit will be refunded within 14
days after the event, less any deductions for any losses or damages, breakages or other
expenses (including but not limited to additional cleaning, costs or claims) incurred as a
consequence of the Client’s occupancy and use of the venue. That Amazing Place reserves
the right to charge additional costs for any excessive losses, damages or breakages to the
venue, the property or its contents.
Any outstanding amounts must be settled before departure from That Amazing Place.
Payment should be by BACs, cash, cheque, debit card or such credit cards as are
recognised by That Amazing Place.
All sums payable are due for payment on presentation of the invoice. In the event of any
query, the Client must notify That Amazing Place within 7 days of invoice date.
12. CANCELLATIONS AND POSTPONEMENTS
Cancellations or postponements must be in writing and will result in the charges below
becoming due. In each case the percentage charge is based on the advanced notice given
and applies to the estimated total cost of booking.
8 WEEKS OR LESS: 100% OF THE TOTAL FEE BOOKING IS DUE TO THAT AMAZING PLACE.
NO REFUNDS WILL BE MADE.
8 TO 12 WEEKS: 75% OF THE FULL COST WILL BE DUE TO THAT AMAZING PLACE.
12 TO 18 WEEKS: 50% OF THE FULL COST WILL BE DUE TO THAT AMAZING PLACE.
That Amazing Place will try to re-sell the rooms and if successful, a reduction of the
cancellation charge may be made. The Client also agrees to reimburse That Amazing Place
for any cost incurred by it arising from the consequential cancellation of any third parties
i.e. equipment hire or entertainment.
13. CHARGES AND CANCELLATIONS BY THAT AMAZING PLACE
That Amazing Place will endeavour, wherever possible, to avoid the cancellation of a
confirmed booking, but reserves the right to do so. If That Amazing Place cancels a
confirmed booking, That Amazing Place will offer the Client the choice of a full refund or
another available date (honouring the Client’s original full payment, regardless of any price
That Amazing Place may cancel the booking at any time and without liability to the Client if:
• The Client is more than 28 days in arrears with payment to That Amazing Place.
• The Client is unable to pay its debts as they fall due.
• Any part of That Amazing Place is closed or unable to operate for any reason beyond
That Amazing Place’s control.
14. ETIQUETTE AND CONTROLS
That Amazing Place reserves the right to judge acceptable levels of noise or behaviour of
the Client, guests or representatives and the Client must take all steps necessary for
corrective action as requested by That Amazing Place. In the event of failure to comply
with management requests, That Amazing Place may terminate the booking or stop any
event without being liable for refund or compensation.
It is the policy of That Amazing Place not to discriminate on the grounds of race, colour,
nationality, creed, sex, marital status, age, ethnic origin or disability. The Client, its
employees, guests and all sub-contractors engaged by or on behalf of the Client are
expected to adhere to this policy and That Amazing Place may, without incurring any
liability, remove from That Amazing Place any persons offending against this policy.
That Amazing Place and the events it hosts are subject to statutory controls, including
those related to fire, licensing, entertainment, health, hygiene and safety. Clients and their
guests must strictly observe these.
Prior consent of That Amazing Place must be obtained for any entertainment or services
contracted by the Client. That Amazing Place may at its absolute discretion refuse access
to any contractor.
Other than for death or personal injury caused by the negligence of That Amazing Place,
That Amazing Place’s liability to the Client is limited to the price of the booking plus
expenses directly and necessarily incurred by the Client to comply with the booking.
That Amazing Place will not be liable for failure to perform to the extent that the failure is
caused by any factor beyond its reasonable control.
That Amazing Place does not accept responsibility whatsoever for damage to, or theft
from, vehicles parked on That Amazing Place’s premises.
That Amazing Place does not accept responsibility whatsoever for damage to or theft of
anything left at That Amazing Place, i.e. wedding gifts, contractor’s equipment.
The Client is responsible for any damage caused to the allocated rooms, furnishings,
utensils and equipment in them by any act, default or neglect of the Client, its guest or
sub-contractor and shall pay That Amazing Place on demand the amount required to make
good or remedy any such damage.
That Amazing Place’s name, telephone, logo and web site address may not be used in any
advertising or publicity without the prior written consent of the Event Manager.
Any comment or complaint should be made at That Amazing Place at the time of the event
so that the matter can be resolved immediately. Alternatively a written complaint or
comment should be sent to That Amazing Place within 7 days.
